How Much Does Event Photography Cost in NYC?

One of the first questions I’m asked when someone is planning a corporate event is, “How much does event photography cost?”

The honest answer is: it depends.

There’s a big difference between photographing a small networking event and covering a large corporate conference with multiple rooms, speakers and hundreds of attendees. The amount of time involved is only one part of the equation.

What affects the cost of event photography?

The length of the event is an obvious factor, but so is the size and complexity of the event. A larger event may require the photographer to cover more ground, move between rooms or capture several things happening at once.

Location and logistics matter, too. Travel time, parking, transportation and venue access can all affect a quote, particularly for events outside New York City.

The type of coverage you need also makes a difference. Some clients need straightforward documentation of speakers and attendees. Others want a more editorial approach that captures the atmosphere of the event, environmental details, branding and candid interactions.

Turnaround time is another consideration. Standard delivery is different from needing a selection of images the same day for social media, press or internal communications.

And for larger or more complicated events, there may be additional production requirements, such as a second photographer, assistant or specialized equipment.

Why isn't event photography simply an hourly rate?

Because the job doesn't begin when I walk into the venue and end when I leave.

There’s preparation beforehand, travel, equipment, image selection and editing afterward. There’s also the experience of knowing where to be, what to look for and how to work around speakers, guests and the flow of an event without becoming part of the distraction.

That’s why I quote each assignment based on its actual scope rather than applying one flat hourly rate to every event.
